01 Needs & capacity assessment

We document the number of users, file volume, email needs, and applicable confidentiality rules, then estimate the appropriate server capacity and backup pattern.

02 Server setup & installation (Nextcloud/mail)

The server is prepared, then Nextcloud and the mail server are installed along with baseline security, an HTTPS certificate, and administrator accounts.

03 Data migration & domain configuration

Data from your old service is migrated, the domain is pointed over, and SPF, DKIM, and DMARC settings are configured so email and cloud access run under your own domain.

04 Testing, brief training & handover

We test access from inside and outside the office, test backup recovery, provide brief training for your team, then hand over configuration documentation and administrator accounts.

Is private cloud cheaper than Google Workspace?

It depends on the number of users and how long the system is used. Private cloud requires an upfront cost for the server and setup, but after that there's no monthly per-user bill. The more accounts and the longer it's used, the bigger the difference usually becomes. For very small teams, or those who need many of Google's built-in features, a subscription service may be more practical. We help you work out the comparison based on your situation before you decide.

Where is the data stored?

On a server you designate, whether a physical server at your office or a rented server at a data center of your choice. The data isn't entrusted to a third-party account. You receive full administrator access along with documentation of the storage location and backups, so you always know where your files are.

What happens if the server goes down?

We set up scheduled backups to a separate location so your data stays safe even if the main hardware has issues. For needs that can't afford long downtime, options such as a backup server, UPS, or a secondary internet line are available. When an outage occurs, the system is restored from the latest backup, with a reasonable recovery time target agreed on in advance based on your situation.
